1. Introduction

Pitch Ready ("we," "our," or "us") operates the Pitch Ready platform, an AI-powered pitch assessment tool built for the Protocol Labs ecosystem. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our service.

2. Information We Collect

Account Information

When you create an account, we collect your email address for authentication via magic link sign-in. We do not collect passwords.

Pitch Materials

When you submit an assessment, we process your pitch video and deck files. Videos are transcribed using OpenAI Whisper, and decks are analyzed using Claude Vision. We also extract a small set of representative frames (typically 3–8 PNG images at 1280×720) from your video and analyze them with Claude Vision to assess framing, lighting, background, and presentation quality. All originals and derived assets — your video, deck, transcript, and extracted frames — are stored in encrypted cloud storage and follow the retention rules described in section 4a.

Usage Data

We automatically collect standard usage data including browser type, device information, and pages visited to improve our service.

3. How We Use Your Information

  • To generate AI-powered analysis and feedback
  • To track your assessment history and progress
  • To communicate service updates and important notices
  • To improve our platform and assessment accuracy

4. Data Protection

  • All files are encrypted in transit (TLS) and at rest via server-side encryption (AES-256) on our object storage
  • Your pitch materials are never used to train AI models
  • You may delete your data at any time through your account settings
  • We do not sell or share your personal data with third parties
  • Access to data is restricted to authorized personnel only

4a. Data Retention

Your original uploads — pitch videos and decks — along with your assessments, scores, and findings are kept until you delete them. Extracted video frame samples (the PNG images sampled from your video for visual analysis) are automatically deleted 90 days after your assessment by a weekly cleanup job. Voice practice recordings are rehearsal scratch and are automatically deleted 30 days after they are recorded.

Deleting an assessment from the dashboard is a soft delete: it removes the assessment from your view but does not immediately purge the underlying data. For permanent removal of everything we hold about you, use the self-serve "Delete account" option in Settings → Account, which permanently deletes your account, assessments, uploaded files, and all derived data.

5. AI & Third-Party Data Processing

To provide our service, your pitch materials are processed by third-party AI providers:

  • Your pitch video audio is sent to OpenAI for transcription. Your deck (PDF), transcript, and extracted video frames (PNG images sampled from your video) are sent to Anthropic for analysis. Data is transmitted solely for processing your assessment.
  • Under their commercial API terms, neither OpenAI nor Anthropic uses API inputs to train their models.
  • These providers may temporarily retain data for abuse monitoring and safety purposes in accordance with their respective policies.

6. Third-Party Services

We use the following third-party services to operate our platform:

  • Supabase— Authentication and database hosting
  • Cloudflare R2 / AWS S3 — Encrypted file storage
  • OpenAI— Video transcription (Whisper)
  • Anthropic— AI analysis (Claude)
  • Vercel— Application hosting

7. Your Rights

You have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Permanently delete your account and all associated data, self-serve, via the "Delete account" option in Settings → Account
  • Export your data as a JSON file ("Export my data" in Settings → Account)
  • Withdraw consent at any time

8. Cookies and Tracking

We use essential cookies for authentication and session management. We do not use third-party advertising or tracking cookies.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the "Last updated" date.
